Attendance and Absence Reporting

Attendance

Progression from Year 12 to Year 13 is dependent upon a very good attendance and punctuality record.

100% attendance is excellent, 96% is good, 90% is poor and 85% or less is very concerning.

Week A and Week B

For A and B week the following applies:

Monday morning assembly

Year 12 & 13

Every Monday at 8:40am, attendance is required for all Sixth Formers. Registers will be taken in assembly.

Information for the week and important notes will be given out at this time.

If a student wishes to give a presentation at an assembly, please let the Sixth Form team know.

Morning tutorials (Tuesday, Wednesday, Thursday, Friday)

Year 12 & 13

Sixth Formers must register in person with tutors in their tutor bases at 8.40am every morning, then remain for tutor led time until 9.05am (except Mondays when registers will be completed in assembly).

For the first term this session will be utilised for year 12s to learn about useful study habits and future career options and for year 13s to complete their UCAS personal statements (or apprenticeship/workplace equivalents).

Timetabled lessons

Year 12 & 13

Students must attend all timetabled lessons; these include subject lessons, PSHE, tutorials, EPQ classes and supervised study.

If missing a lesson is unavoidable it is important that students notify the class teacher and the Sixth Form team, and then contact the class teacher to catch up on any work missed. There is a leave of absence form available HERE.

Supervised study

Year 12 & 13

Supervised study is in the Sixth Form Study Centre unless told otherwise. Students will have a supervised study period assigned to each of their subjects; time which they should use specifically for this subject.

There are non-subject specific supervised study periods on timetables during which students are encouraged to take charge of their own learning and study whatever they deem necessary, staff are available for guidance.

Students must attend all supervised study lessons and register with Mrs Catchpole in the study centre.

Free/non-contact periods

Year 12 & 13

All Sixth Formers should take advantage of non-contact lessons during the school day to get some independent study completed; complete any set homework, catch up on missed work, get prepared for the upcoming lessons or reading around your subjects.

Sixth form should be viewed as a full-time profession, meaning that the bulk of their workload can be completed in school, leaving more time outside of school to spend time with friends and family, or do something for themselves. This will have a positive impact on our students' mental health.

The Sixth Form Study Centre is available at all times during the school day for Sixth Formers to use along with the library. There are also free rooms around the school; ask a member of the Sixth Form team for availability.

Absence

All absence must be reported, there are 3 ways to do this:

  • Telephone 03333 602 230 Ext 05057
  • Email Karen.Mills@phsg.tsat.uk or Jen.Catchpole@phsg.tsat.uk
  • Text the Sixth Form mobile on 07808768016

If a student’s attendance is above 96%, then they may self-certify an absence.

If a student’s attendance is below 96%, then all absences will need to be authorised by a parent or carer and the student will be expected to meet regularly with their tutor.

If a student’s attendance falls below 90%, they will be called to a meeting with the Head of Sixth Form and their parent or carer to discuss a way forward.

Leave of absence

If you know in advance that you need to be off school you must apply for leave of absence, stating your reasons, well in advance of the proposed leave. Permission for leave of absence cannot be granted retrospectively.

If you have an unavoidable dental/medical appointment or a driving test during school time you must sign out and back in again (as appropriate) at the main reception and a leave of absence is required on these occasions.

Only absence from classes for academic reasons to do with your courses (e.g. interviews, university open days) will NOT count on your absence record.

Holidays are not permitted during term time.

Unless approved, absences will be recorded as unauthorised.

Illness

If a student is too ill to come to school, the school must be informed before 8.40am on one of the ways mention above.

Students who feel unwell during the school day need to see the Head of Sixth Form or Assistant to the Head of Sixth Form for permission to go home.

Late and signing in/out

If a student turns up late to school (after 8.40am) they should sign in at main reception and either go straight to assembly, registration, or a lesson; whichever is appropriate for the time they arrive.

Due to fire and safety regulations students must sign in and out at main reception if they arrive after 8:40am, or are leaving campus or coming back onto campus during the school day. We need to know where our students are. Please write your full name and the time clearly on the signing sheet at main reception.

Punctuality is viewed as an aspect of good personal organisation. Both attendance and punctuality can be commented on in references for university and/or employment.  Letters will be sent home regarding unauthorised absence and poor attendance/punctuality records.
